The Challenge

The client operated a growing wholesale business managing 2,800+ industrial products across complex category hierarchies. Their existing setup — a combination of spreadsheets, email-based ordering, and a basic WordPress site — was creating daily bottlenecks.

Key problems they came to us with:

  • Manual order processing — Every order required 3-4 emails back and forth to confirm pricing, availability, and delivery.
  • Pricing complexity — Different customer tiers had different pricing. Volume discounts applied conditionally. Reps were doing calculations by hand.
  • Inventory blindness — Stock levels were tracked in a separate system. Customers would order items that were out of stock, creating frustration and returns.
  • Slow catalog management — Adding or updating products meant editing spreadsheets and manually updating the website. Changes took days.
Our Approach

We chose a headless architecture with a Next.js storefront and a custom commerce API. This gave us complete control over the buyer experience while keeping the backend flexible for their B2B-specific requirements.

Architecture decisions:

  • Next.js frontend — Static generation for product pages (fast, SEO-friendly), server components for dynamic pricing and inventory.
  • Custom pricing engine — Tier-based pricing calculated server-side based on customer level, quantity, and product category. No more manual calculations.
  • Real-time inventory sync — Webhook-based integration with their warehouse management system. Stock levels update within seconds of a change.
  • Bulk ordering tools — CSV upload for large orders, quick-add by SKU, and reorder from previous purchase history.
  • Custom admin panel — Purpose-built for their team, not a generic CMS. Product management, order processing, and customer management in one place.

The Result

The platform went live on day 12. Within the first month:

  • Order processing time dropped 80% — From 15 minutes per order to under 3 minutes.
  • Zero pricing errors — Automated tier-based pricing eliminated manual calculation mistakes.
  • Inventory accuracy hit 99.8% — Real-time sync meant customers saw accurate stock levels.
  • Catalog updates went from days to minutes — The admin panel made product management self-serve.

The platform continues to run in production with 99.9% uptime and sub-2-second page loads, handling growing order volume without performance degradation.
